Thank you for your interest in utilizing Penrose House for your upcoming event or meeting. Penrose House is the historic estate of Spencer and Julie Penrose, built in 1910. During your visit, we invite you to enjoy the property while assisting us to maintain the integrity of the venue by respecting the building, the meeting rooms, the artwork, the furniture, and the artifacts.
Penrose House serves as a place of business as well as a conference center and we ask that you maintain a noise level respectful of other guests and the El Pomar Foundation staff.
Penrose House serves as an education and conference center available exclusively for the nonprofit community to gather, discuss issues, and discover innovative solutions to challenges facing their organizations and constituents. Penrose House is not intended to host the routine or regularly scheduled activities of nonprofit organizations, but instead is offered as a venue for strategic meetings and conferences.
We ask that guests refrain from bringing children or pets to meetings at Penrose House, as the facility is not designed to accommodate associated needs. Should a guest enlist the support of a service animal, please make sure that Penrose House staff is made aware of this prior to the meeting date.
With limited staffing resources, we rely on our guests to assist us in caring for Penrose House by cleaning up after their use and respecting the historic nature of the facility.
Penrose House does not accommodate weddings, private functions or professional photography sessions.
Sale of merchandise on premises is prohibited at all times.
Penrose House is a non-smoking facility. Smoking is permitted in designated areas outside the building and away from entrances.
Penrose House is available free-of-charge to 501(c)(3) nonprofit organizations and government entities. We ask that organizations limit their use of the facility to no more than once per month.
Penrose House is available on a first-come, first-served basis on the following days and times:

All meeting requests are considered on a first-come, first-served basis and must be submitted at least two weeks prior to the requested meeting date.
A minimum of four hours is required for all meetings.
Please note that organizations are not permitted to charge for meeting participation, except to cover catering expenses and/or program costs and materials. Penrose House is not available for fundraising events except in those instances when the fundraising event is sponsored by El Pomar Foundation.
Due to our limited staffing resources, we request a minimum of two (2) business days notice for any changes to the original meeting request details, such as room setup, amenities, or additional space. Change requests made with less advanced notice cannot be guaranteed.
To request meeting space, please review the General Guidelines for Using Penrose House in its entirety and then submit your request via the online reservation system. Upon receipt, a Penrose House staff member will contact you regarding the status of your request within two (2) business days of submission. If you do not receive confirmation, please contact a Penrose House staff member.
Use of Penrose House is at the discretion of El Pomar Foundation.
Limited dining space is available during your meeting. Please be sure to indicate your interest in utilizing dining space as part of your meeting request.
In an effort to ensure the safety of Penrose House staff and guests, security cameras with 24-hour video surveillance have been installed throughout the property.
Inclement weather may result in early closure, delayed opening or cancellation of activities at Penrose House. Our policy will mirror Cheyenne Mountain SD 12; if they are closed, Penrose House is closed to guests; if they are delayed, Penrose House will be open for guests based on the delayed timing. If a weather delay/closure occurs on a day when the school district is not open, a voice message indicating our status will be on the Penrose House front desk phone line (577-7000).
We will communicate any change to hours of operation via the Penrose House website and main phone line. We encourage guests to be aware of changing weather conditions and to check the website or call Penrose House prior to their meeting or event.
It is the responsibility of the event point-of-contact (POC) to monitor the El Pomar website or call 719-577-7000 for messages regarding delays or closures.
It is expected that each POC will notify members of his/her group in the event of Penrose House change in operating hours (or closure) due to inclement weather.
Penrose House offers a wide range of equipment for each organization's use at no cost. LCD projectors, TVs, DVD players and flip charts with markers are all available, along with a limited supply of podiums. Please operate all equipment in accordance with its intended use and notify a Penrose House staff member of any damaged equipment immediately.
The Business Center, located in the Foyer, offers internet access, limited printing capability and public phone use.
Assistance with photocopies and facsimile documents is available for a nominal cost. Please inquire with the Penrose House Front Office for these services.
Penrose House offers beverage service consisting of sodas, juice and coffee for a nominal cost. Pitchers of water and hot tea are complimentary.
All expenses incurred will be invoiced via email within one week of the completion of the meeting. Payment is expected within 30 days.
Outside food and beverage may not be served unless supplied by an approved caterer.

Please visit the Penrose House main office at the time of arrival for room instructions and check-in with the staff member on duty.
Please do not alter room layouts or set-ups without first contacting Penrose House staff.
Please use only the tape provided by Penrose House to post documents on the walls and please do not post anything near artwork or windows. Please do not write on documents once they have been taped to the walls.
Please ensure that tabletops, walls and the floor are free of trash or papers. Trash and recycling receptacles are provided to assist you in ensuring the tidiness of the room prior to your departure.
When you are ready to depart, please check-out with a staff member on duty.
It is expected that rooms will be left in the same, clean condition in which you found them at the start of your meeting. If the meeting room is left in an unsatisfactory condition, your organization may be subject to a $25 maintenance fee.
Please operate all equipment in accordance with its intended use. Please notify Penrose House staff of any damaged equipment immediately. Lost or damaged equipment will result in a charge for the cost of repair or replacement.
Penrose House has ample parking on the west side of the property. Please do not park in areas designated for staff parking.
Please notify a Penrose House staff person on duty immediately in the event of any accident, injury or damage to Penrose House property.
The Library, the Salon, and the Foyer are considered common areas and should not be used for meeting purposes without consent of Penrose House staff.
Courtyards are considered unrestricted common areas and we invite you to enjoy these spaces when not occupied.
Penrose House offers public tours on the first Monday of each month and by request during your Penrose House meeting time. Please contact a staff member for more information.
